Box

Box is VA’s enterprise-grade cloud content management platform that enables secure content storage, collaboration, workflow automation, digital signatures, and AI-assisted content analysis. It provides a centralized, cloud-native environment where VA offices can securely store, organize, and manage documents with granular access controls while collaborating across offices and with approved external partners such as researchers, contractors, and grantees. The platform supports version control, auditability, and lifecycle management to ensure authoritative content is easily accessible and governed in accordance with VA security and information governance requirements. Advanced capabilities such as Box AI allow users to summarize documents, extract key insights, generate drafts, and ask natural-language questions across their content, helping reduce time spent reviewing large volumes of materials such as policies, reports, and research documents. Box AI is approved within VA’s ATO boundary.

The VA leverages Box across three primary scenarios: internal file sharing, collecting content through Box File Request, and securely collaborating with external partners. Additional capabilities include Box Hubs, which enable teams to create secure, curated portals for publishing program documentation, standard operating procedures, training materials, and policy libraries in a single, easy-to-navigate experience. When paired with Box AI, users can search and extract insights across Hub content to quickly find information and reduce duplicative work. With the addition of Box Drive, staff can work directly from Windows File Explorer while staying synced to the cloud. The Box SharePoint site (VA Staff Only) is now your one-stop shop for all VA Box information. It provides easy access to current pricing, step-by-step guidance on submitting a Box request, and clear details on what Box enables within the VA — such as secure file storage, collaboration, and compliant data sharing.
